Labor Hours & Automated Data Updates

Keep job hours and records ready for the next decision.

KLYX connects approved time records, cost codes, and project updates so field and office data stays usable. Track estimated versus actual hours, surface missing entries, prepare job-cost updates, and send responsible people a short list of what needs attention. Your team reviews corrections and accounting decisions.

THE FRICTION

Where the work gets stuck.

Hours arrive late, the job number is missing, and the weekly report is rebuilt by hand. The team learns about an overrun after it has already spent another week on the same work.

WHAT THE SYSTEM CAN HANDLE
01

Match approved time records to jobs and cost codes

02

Compare budgeted and actual labor hours by work package

03

Request missing records and flag duplicate or stale entries

04

Prepare scheduled data updates and accounting review queues

You set the approval boundary.

Drafts and recommendations are reviewed by your team before a pricing decision, technical response, submission, or purchasing commitment.

FROM PROCESS TO PRACTICE

Start small. Check the work.

See the implementation process
01

Map the current process

Bring a representative example, the tools involved, and the person who owns the workflow.

02

Define the review steps

Agree on permissions, source records, approval boundaries, and exception handling.

03

Pilot and measure

Test on a limited scope, compare against your baseline, and train the team before expanding.

Keep the source behind every number.

Bring in approved time entries from the agreed timekeeping system or export. Match employee or crew records, job IDs, dates, work packages, and cost codes without changing the original source silently. Missing or ambiguous matches become review tasks.

Compare hours with the work completed.

Compare estimated and actual hours for the same scope and period. Where installed quantities are reliable, report hours per unit alongside progress; hours used alone do not explain whether a job is productive.

Keep approved scope changes and revised budgets visible. Route unexpected variances to the person who can confirm whether the cause is scope, production, coding, or incomplete records.

Make data catchups a repeatable process.

Schedule collection of missing timesheets, stale bid outcomes, unconfirmed deliveries, and unbilled approved changes. Prepare reminders with the job reference, missing item, and responsible owner. Stop reminders when the record is resolved.

Summarize what changed since the last update and what still needs review. Approved corrections flow back through the agreed system; payroll and accounting decisions stay with authorized people.

BEFORE WE BUILD

Your questions,
answered.

Does AI approve time or run payroll?

The workflow can organize entries and flag missing fields or unusual values. Supervisors approve hours and corrections, and your payroll team keeps payroll decisions and processing.

Can this help with accounting and job costing?

Yes, through scoped data preparation: suggested job and cost-code matches, PO/receipt/invoice comparisons, and exception lists. Accounting reviews coding, posting, period treatment, and reconciliations before changes become official.

How often does the data update?

The schedule depends on the source tools and agreed access. Show the last successful update and any failed sync or incomplete period. A daily or weekly report should make stale data visible.

Does this work with our existing software?

We start with your existing estimating, project, timekeeping, and accounting tools. The audit confirms access, available integrations or exports, update frequency, and which records your team treats as authoritative before a build is scoped.

LESS ADMIN. MORE BUILDING.

Let’s put your back office
to work.

We’ll review how you estimate, follow up, and track job results, then identify the workflow and data to investigate first.

Leave the initial conversation with a proposed focus and next steps. A detailed workflow map and ranked recommendations follow the separately scoped operations audit.
