Material Procurement & PO Automation

The right material record. Before the crew needs it.

KLYX connects material requests, supplier quotes, purchase order drafts, and delivery updates for commercial drywall and framing subcontractors. Board, track, compound, insulation, and ceiling materials stay associated with the job and approved scope. Your buyer approves commitments and substitutions; the workflow keeps missing information and supply exceptions visible.

THE FRICTION

Where the work gets stuck.

A supplier email says part of the order is delayed. The field still expects the complete drop. Someone must connect the message to the PO, the job, the work area, and the person who can act. That connection should be a process, not a memory test.

For drywall & framing contractors.

A material request needs enough detail to be checked: job, area, required date, product or approved assembly, quantity, and responsible requester. Keep board and track requirements tied to the current approved scope. Delivery and stocking constraints belong with the order instead of a separate text thread.

Track partial receipts separately from a completed order. When a backorder or proposed substitution arrives, route it to purchasing and the relevant project reviewer. The system can organize the issue; it cannot decide that an alternative board, assembly, or material meets the design requirement.

Also serving commercial specialty subcontractors.

Electrical, mechanical/HVAC, plumbing, concrete, roofing, and other specialty subcontractors face related handoff problems. We map the workflow around your scope, records, and approval responsibilities. The drywall examples show the level of detail we look for; they do not limit who can start with an Operations Review.

BEFORE WE BUILD

Your questions,
answered.

Can you connect board and track requests to POs?

Yes, that is part of the workflow we scope. A request can carry job, area, material, quantity, and required date into a reviewed purchasing draft. Your buyer confirms the product, price, terms, and authorization before issuing a commitment.

Will AI approve material substitutions?

No. Substitutions require the appropriate technical and commercial review. The workflow can identify a proposed alternative, attach the supplier record, and route it to the responsible people. It should not treat a vendor suggestion as an approved assembly change.

How are partial deliveries handled?

Record what was received, what remains outstanding, and which job or area is affected. Keep the original order reference so the field and office see the same exception. The review defines who verifies receipts and who follows up with the supplier.

Can accounting compare invoices with POs?

We can scope a reviewed comparison of order, receipt, and invoice records where access permits. Discrepancies go to a person with authority to resolve them. Accounting controls, cost codes, and the source of truth are agreed before a connection is implemented.

Does this work with the software we already use?

We assess Procore, Autodesk, Bluebeam, Microsoft 365, QuickBooks, and Foundation where relevant to the workflow. Access depends on your account, permissions, and available interfaces. The audit confirms what can connect, what needs a reviewed handoff, and which record remains the source of truth.
